Pricing & billing FAQs
Specifics on the trial, overages, refunds, currencies, and cancellations. The homepage FAQ covers the broader product questions.
- What's included in the 14-day Starter trial?
- Everything you'd get on Solo: one active show, up to 25 submissions, the full judging stack (rubrics, calibration, multi-round), Ballotis voting on the same org, AI features metered against the 100 starter credits we seed at signup, Open Badges for winners, and the cue desk + ceremony tools. The cap is intentionally calibrated to demonstrate the platform end-to-end — enough to run a small mock show or evaluate every feature — but not enough to run a real production-scale program. After 14 days the org keeps working in read-only mode; converting to any paid plan re-opens write access without data loss. We don't ask for a credit card to start the trial.
- What happens when I exceed my plan's submission limit?
- Two outcomes depending on your plan. On Starter and Solo (per-show caps), additional submissions are blocked with a 403 — the form returns 'show not accepting more submissions' and the nominator gets a clear error. On Growth and Studio (per-year caps of 1,000 and 10,000 respectively), if we have your overage Stripe Price configured we soft-cap: each additional submission goes through and we attach a $0.50 (Growth) or $0.30 (Studio) line item to your next invoice. Without overage configured, the per-year cap is hard. Overage charges show up in your billing settings as a running count + dollar total, so you're never surprised on invoice day.
- Can I cancel anytime?
- Yes, cancellation is one click in your billing settings — no support ticket, no retention call required. We open Stripe's customer portal where you click 'Cancel subscription'; access continues through the end of your current billing period (no proration penalty), then drops to Starter. Your data stays in read-only mode forever; nothing is auto-deleted. Annual plans cancel the same way, but the period-end is your annual renewal date. Pre-cancellation we offer a save deal (50%-off-3-months coupon, plan downgrade to Solo) — accepting is optional and capped at one save offer per 12 months. We send a structured exit survey post-cancel; replies aren't required but feed our churn-reason tracking.
- Do you offer annual billing?
- Yes, with a 17% discount that effectively gives you 2 months free. Solo annual is $790 (vs $948 if you paid monthly for 12 months), Growth annual is $1,990 (vs $2,388), Studio annual is $7,990 (vs $9,588). Same discount math on Ballotis subscriptions: Solo $390/yr, Team $1,290/yr, Org $3,990/yr. You can switch between monthly and annual at any time from billing settings; Stripe handles proration cleanly. Verified nonprofits stack their 25%-off-forever discount on top of the annual savings, bringing Growth annual to roughly $1,490 — close to the cost of two cups of coffee per day for an unlimited-jury, multi-round awards program.
- What currency will I be charged in?
- Default is USD — that's the canonical price on the marketing page and what every plan settles in by default. We've created Stripe Prices in GBP, EUR, CAD, and AUD for an expanding set of plan/cycle combinations; when you land on the pricing page from a UK, Eurozone, Canadian, or Australian browser (detected from your Accept-Language header), we show your local-currency price as a footnote and route checkout to the matching Stripe Price when one's configured. Otherwise USD applies. Stripe shows you the final charge currency on its checkout page before you confirm — no surprises at the bank statement. To force a specific currency at checkout, append ?cur=GBP (or EUR/CAD/AUD) to the pricing URL.
- What's your refund policy?
- EU consumers have a 14-day right of withdrawal we honor regardless of where you're based — full refund within 14 days of subscription start, no questions, deducted automatically via Stripe. After 14 days, we don't offer pro-rata refunds for the current billing period (Stripe Billing's industry-standard model), but we will cancel the renewal and let access run through period-end. For Single Season SKUs, we offer a full refund within 14 days IF the program hasn't yet been launched (status still DRAFT); after a show goes OPEN we treat the license as consumed. Disputed charges should go through Stripe's dispute process — that's the canonical paper trail.
